LA Fleet Week Exhibitor Application General Information I have read the general information.Thank you for your interest in LA Fleet Week Exhibitor opportunities. Our event will be open to the public daily from 10:00 am to 6:00 pm, Friday, May 21 through Monday, May 24, 2026. LA Fleet Week is a family-friendly celebration. We select exhibitors who align with our mission to deliver a complete and immersive experience for our visitors. Selected and confirmed exhibitors for the event must adhere to the following requirements: - Be present all four days and during the specified hours of the event, with at least one staff member in their exhibitor space at all times. - Full payment of Exhibitor fees, due within 30 days of notification of selection. A $50.00 late fee will apply to payments made after the deadline. - Please submit a Special Event Deposit of $1,000.00, which will be used to cover any penalties incurred during LA Fleet Week. This deposit is due at the same time as your Exhibitor Fee payment. - For a comprehensive explanation, please refer to the Terms & Conditions section of this application, #1 and #2. - Provide Certificates of Liability Insurance* which name the event organizers as additional insureds. - Provide tablecloths, tenting, and sandbags for their display. * NOTE: The minimum insurance coverage required includes General Liability of $1 million, Auto Liability of $1 million if you plan to bring vehicles into the exhibit area, and Workers’ Compensation insurance to cover employees staffing their exhibitor space. If you do not currently have insurance, you have the option to purchase event insurance online to cover the entire event period (from load-in through load-out, 5/19/2026 through 5/25/2026). For the purpose of this agreement (“Agreement”), the term Exhibitor will refer to any and all persons involved in the function of an exhibit. It is hereby agreed that the undersigned will abide by the rules and regulations set forth in this Agreement. The acceptance to exhibit by or on behalf of the event shall constitute a contract. 1. In order to confirm your attendance at the event, you must adhere to the following requirements: Submit a fully completed and signed application. Full payment of Exhibitor fees - Due within 30 days of notification of selection. Special Event Deposit - Due within 30 days of notification of selection. Certificates of Liability Insurance - Due between January 1, 2025 and March 31, 2025. The Special Event Deposit must be submitted at the same time as your exhibitor fee payment, either by credit card or by a check made payable to the Pacific Battleship Center. Failure to complete these steps by the specified due dates will result in a $50.00 late fee or the cancellation of your agreement. 2. The Expo days and hours for public attendance are Friday, Saturday, Sunday, and Monday, (5/23/25-5/26/25) from 10:00 am to 6:00 pm. These designated hours are established with the intention of providing the best possible experience for our guests. To ensure a smooth operation, exhibitors are required to be in place at their exhibit space no later than 9:45 a.m. and are not permitted to start dismantling their exhibit until the scheduled end-time at 6:00 p.m. Any exhibitor who is not place in their exhibit space by 9:45 a.m. and or dismantles their exhibit before 6:00 p.m. will incur a $125 penalty per occurrence. It is essential to note that moving or loading out before the official conclusion of the event is strictly prohibited. In order to uphold the high standards of the event, exhibitors are required to submit a Special Event Deposit. This deposit will be utilized in the event of any late exhibit openings or early departures, incurring a penalty fee of $125 for each occurrence. If no penalties are incurred during the event, the entire Special Event deposit will be refunded by July 15, 2025. Please be aware that exhibitors who repeatedly violate these rules may face exclusion from participating in future events. 3. All exhibitors are required to properly anchor their tents using sandbags or weights. Failure to secure your tents will result in the event providing sandbags at a cost of $25.00 per sandbag (with a minimum order of 4) per day. Payment for this service will be collected upon delivery and can be paid by cash or credit card. 4. Each participating entity is required to reserve its own exhibit space. Shared spaces, representing multiple companies, product lines, or businesses, are strictly prohibited. 5. Refund and cancellation policy: All exhibit space payments are non-refundable. The Exhibitor is responsible for obtaining appropriate insurance to cover any unexpected occurrences that might affect the Exhibitor's ability to attend. All exhibit space sales are FINAL. 6. All product sales and services, sessions, promotions, and placement of products must be confined to the Exhibitor's designated space and areas specified by the event management. Exhibitors are not permitted to walk around the event footprint to promote their product or service via printed materials or pre-recorded messages, unless pre-arranged in writing by event management. No exceptions. 7. Depending on assigned exhibit space size, the event will provide display tables and chairs as indicated in this agreement. Sandbags, signage, exhibit display, tent, and furnishings are the sole responsibility of the Exhibitor, including 8', floor-length tablecloths and extra tablecloths to cover your display during non-event hours. 8. LAFW secures the exhibit areas overnight, but assumes no liability for theft or loss of any kind. All losses, including but not limited to property or injury, shall be the sole responsibility of the Exhibitor. 9. Exhibitor agrees that they will conduct themselves in a peaceful, cooperative, and harmonious manner as is appropriate to the integrity of patrons, fellow exhibitors, and show and event management. 10. Exhibitor hereby agrees to observe and adhere to all federal, state and local laws, rules, regulations, and ordinances pertaining, but not limited to, fire, health, safety, food handling, transportation, labor and employment, workers compensation, and all regulation related to their business, and accepts sole responsibility for any fines, expenses, or loss of revenue due to any violation of these laws or failure to meet any requirements by such agencies. 11. Exhibitor agrees to be solely responsible to acquire all permits and licenses for the sales and/or promotion of their products and/or services and must have any necessary permits and licenses in place for the duration of the event. 12. Exhibitor wristbands are issued solely for the purposes of providing early entry into the event footprint and front-of-the-security-line privileges during show/event hours. To be valid, wristbands must be worn at all times where required and visible to security and event management. 13. The Exhibitor hereby agrees to provide all names of exhibition driver load-in and load-out staff no later than one (1) week prior to arrival. Any person presenting themselves at the event security gate as a staff member who is not included on the list will NOT be granted entry by vehicle and will be required to follow public guidelines. Each person will be required to know the name of the exhibiting company upon admission at the gates and/or doors. 14. In the event that outside causes prevent LAFW from taking place or force the event to change locations or dates, the management reserves the right to retain Exhibitor payments as is reasonable to cover incurred costs associated with the event. It is the sole responsibility of the Exhibitor to obtain adequate insurance to cover any such losses. 15. The Exhibitor agrees to pay LAFW and its suppliers for all contracted and requested services and to defend, indemnify, and hold harmless LAFW and any venue in which the event shall take place, including its employees and agents from any claims, losses, and damages to person or property. The Exhibitor further agrees to pay any government fees or fines and any expenses and attorney's fees arising out of or caused by the Exhibitor, and any fees arising from outside contractor installations, removal, maintenance, occupancy, or use of the exhibition or venue premises or any part thereof financially or otherwise made by any individual or entity. 16. Event management reserves the right to move or relocate an exhibitor's space or modify the show floor plan for the betterment of the show. Please note there is no guarantee of exhibit space placement assignment prior to the event. 17. Acceptable exhibit signage shall be in the form of a roller banner, pop-up banner, table banner or wall banner using removable tape. For visual consistency, all tables must be covered with floor-length tablecloths. Boxes shall be neatly stored away under covered exhibitor tables, not visible to guests. 18. Accepted forms of payment for Exhibitor Fees and Special Event Deposits are as follows: Credit cards, checks, certified checks, and money orders. No cash, please. Checks should be made payable to "Pacific Battleship Center" and mailed to: Pacific Battleship Center, 250 S. Harbor Blvd., San Pedro, CA 90731. Payments may also be made by credit card through our website and selecting the applicable payment type on the dropdown menu. 19. LAFW fully reserves the right to determine the eligibility of any company, person, product, and/or services in the exhibit areas. The Exhibitor shall bear all liability should the venue, local government agency, law enforcement, customs, or other offices determine that the Exhibitor's product and/or service are not permitted at the event. Exhibitors are required to disclose all products and services on the Exhibitor Application. In an effort to assure the event vendor's uniqueness, the event management reserves the right to limit "brand specific" products to one exhibitor only to display at the event. 20. Neither Party will be liable for any failure or delay in performing an obligation under this Agreement that is due to any of the following causes (which events and/or circumstances are hereinafter referred to as “Force Majeure”), to the extent beyond its reasonable control: acts of God, accident, riots, war, terrorist act, epidemic, pandemic, quarantine, civil commotion, breakdown of communication facilities, breakdown of web host, breakdown of internet service provider, natural catastrophes, governmental acts or omissions, changes in laws or regulations, national strikes, fire, explosion, generalized lack of availability of raw materials or energy; provided that the parties stipulate that Force Majeure shall not include the novel coronavirus Covid-19 pandemic which is ongoing as of the date of the execution of this agreement. For the avoidance of doubt, Force Majeure shall not include (a) financial distress nor the inability of either party to make a profit or avoid a financial loss, (b) changes in the market prices or conditions, or (c) a party's financial inability to perform its obligations hereunder. 21. LAFW shall have the full power to interpret and/or amend these rules and regulations, and the interpretation and/or amendment must be accepted as final in any dispute with the Exhibitor or in any situation not covered by these rules and regulations. Should any part of this contract be considered unenforceable, all other terms herein shall stand as true and binding. 22.
